The Foxtrot
The Foxtrot is a unique lodging experience. We go out of our way to create an experience that's different from a traditional hotel. With that said, we want to make sure you know what to expect.
By booking your reservation with Foxtrot LLC, you are agreeing to the following terms and conditions outlined below; we will not refund your stay if you have an unpleasant experience that could have been avoided by heeding the following property policies.
Cancellation and Refund Policy:
The Cancelation Policy is managed by the external Online Booking system at Airbnb and/or VRBO; please review their guidelines for more information.
Guest Access:
Guests will have 24-hour access to enter the property through the elevator located inside the parking garage located at the rear of the property.
● Rooftop Deck Access: The Rooftop Deck is currently closed to the public. However, for dates of private events or any additional inquiries please contact us at info@foxtrotnashville.com.
The Foxtrot Hotel kindly reminds all guests that any individuals who choose to disregard this notice and access the roof do so at their own risk. The Foxtrot Hotel assumes no liability for any injuries, accidents, or damages resulting from unauthorized rooftop access.
Guest Services:
While we do not have staff on site 24-hours a day, should your room need attention or if you have any questions or concerns, you can reach us at 830-477-1513 or through the booking platform where your reservation was made.
Checking In and Out:
● Check-in are available after 3 PM
● Check-out is strictly at 11 AM.
We are unable to guarantee an early check-in, as we need to make sure our cleaners have enough time to thoroughly prepare the room for your stay; however, we will do our best to accommodate. If the room is ready and early check-in is requested and approved, we allow for early check-in at a rate of $25/hour for room access. Please reach out to us via phone at 830-477-1513, or through the booking platform to inquire about an early check-in or late check out.
Noise:
The Foxtrot is located in one of Nashville's most vibrant urban districts, so there can be street noise. On-site quiet hours are enforced between the hours of 11:00 PM to 9:00 AM. Additionally, the event space is occasionally reserved for private events. If guests are being unnecessarily disruptive, please notify us immediately at 830-477-1513.
On-Site Conditions:
We have an ADA compliant elevator with access to the ground, first, second, third, fourth, and rooftop floors. The ground, first, second, third. and fourth floors are also accessible by an interior staircase with access to the parking lane on the side of the building. Guests are responsible for carrying their own luggage to and from their rooms.
Housekeeping:
Please note, housekeeping is not onsite 24/7, therefore we will not change sheets, make beds or do full room cleans in occupied rooms. If there is something specific that needs to be cleaned, the Guest must notify the housekeeping staff via phone or through the booking platform. We provide linens, pillows, blankets, towels, washcloths, as well as a generous supply of paper towels, toilet paper, and various toiletries.
Parking:
There are five dedicated parking spaces reserved for guests, one of which is ADA accessible and located at the front of the building. If additional parking is needed, parking is available in the back parking lot. Parking Passes: One parking pass is provided per room. Any vehicle parked in a dedicated Foxtrot space will be required to display the provided parking pass in it's windshield. If the parking pass is not returned at checkout there will be a $10 fee applied to the guest's credit card. No Recreational Vehicles or Boats may be parked on the premises. Vehicles of excessive size may be asked to be relocated off-site.
Smoking and Pets:
The Foxtrot is 100% smoke free. The Foxtrot does not allow smoking anywhere on the property. Pets are allowed, with notice, in your booked room and in common spaces and hallways. There is a Pet Fee which varies depending on which room is booked (please see third-party booking site for details.) Guests who violate these policies may be asked to vacate the premises immediately with NO refund. Should damages be incurred, The Foxtrot will charge the Guest’s credit card for a fine of $150+ any actual damages caused by the smoking and/or the pet. These terms apply to violations that were not discovered until after check out.
Occupancy Restrictions:
● In order to book rooms at The Foxtrot, the primary guest must be at least 25 old.
● At the time of your reservation, we ask that you include the number of guests traveling in your party. If this number changes, it must still be compliant with the occupancy standard for this property. Please make sure you update your reservation should this number change.
● If a booking group exceeds the max occupancy for their room, they may be asked to vacate the premises immediately with NO refund and/or charged an additional $50 per person per night.
● Furthermore, we do not allow third-party bookings, meaning you may not book a reservation on behalf of someone else. If the Renters [signing] this agreement abandon the premises (or do not show up) any / all occupants remaining will be evicted. No refund will be made available under these circumstances.
Private Parties/Events:
Hotel rooms must be used for lodging purposes only. Guests are not permitted to host parties/events in their rooms or in any of the public areas without prior written approval from hotel management. In order to be approved for private parties/events, Guests must sign a separate event contract and pay the associated event fees at least 24 hours in advance of the event. Any guest who violates this policy and hosts a party or event without signing an event contract and paying event fees will be subject to immediate eviction from the property and a penalty of $500 + damages. That penalty will automatically be charged to the credit card on the Guest's reservation and the Guest will not be refunded for their hotel stay or for any other costs. These terms apply to violations that were not discovered until after check out.
Excessive Guest Noise:
Guests who cause excessive noise during their stay will be contacted by Foxtrot management either in person or via text - to the phone number on the reservation. If a guest does not permanently correct the behavior within 30 mins then Foxtrot management will contact the Guest a second time. If the Guest fails to permanently correct the behavior within 30 mins of the second notice then the Guest will be subject to immediate eviction from the property and a fine of $300 or authorities may be called.
Refusal of Service:
The Foxtrot reserves the right to deny entrance and/or service to any Guest who does not comply with these Terms & Conditions or who is disrespectful or disruptive to staff or other guests through verbal or written means. No lewd exhibitionism or offensive signage may be displayed in, from, or around your room at any point during your stay. Any such behavior may result in us terminating your stay with us, effective immediately, with no refunds.
Damage Information:
After each Check Out, the room is thoroughly inspected for damages. Should there be any damage to the property, the Guest will be immediately notified with a breakdown of what was found and the cost to repair or replace. We have created a list which includes some (not all) of the guidelines recommended to ensure there are not extra charges after your stay:
● No parties that might disturb the neighbors
● Damage to seating furniture or décor in any way
● Public urination - yes, it actually happens, so it needs to be a rule
● Scratching the floors with your bags or the furniture
● Stains on the chairs, couches or bedding
● Taping items on the walls & damaging the paint
● Glitter or Confetti left in the room
● Trash left outside of the property
● Cigarette or cigar butts thrown in the yards
● Violating the specific rental contract terms, e.g:
■ Occupancy Rate: do not exceed number of allowed guests
Termination of Rental Agreement:
Rental agreement terminates if fire or other casualty, including natural disaster, damages premises. If this should be the case, a prorated amount will be quickly refunded. This agreement may be terminated with or without cause up to 30 days before check in. A full refund will be issued to the guest in the event of such termination by the owner.
Refusal of Admittance or Discontinue Occupancy:
We reserve the right to refuse admittance or discontinue occupancy if such action is in the best interest of protecting our business and investment. This right is very unlikely to be exercised, but we have to be protected against extreme circumstances.
Indemnification:
Renters will indemnify and hold Owners and Property Manager harmless from any loss, cost, damage and/or expenses caused by injuries to persons or damage to property while in, on or about the house and community, not attributable to the willfully wrongful act of the Owners and Property Manager. Any property located in, or brought onto, the house and grounds shall be at the sole risk of Renters. Owners are not responsible for any items left in the house or grounds after a stay. That said, we are happy to mail you your left behind items.
Your acknowledgement by booking a room online certifies that you have read, agree to, and will abide by the Rental Agreement and House Rules. Any reservation made under false pretense will result in loss of deposit and rent.
